Privacy Policy

This Privacy Policy explains how Casino Moments Events Ltd ("Casino Moments", "we", "us") collects, uses, stores and discloses personal information. We are a New Zealand company (NZBN 9429051847263) based at Level 3, 85 Victoria Street, Te Aro, Wellington 6011, and we handle personal information in accordance with the Privacy Act 2020 and its thirteen Information Privacy Principles (IPPs).
1. What We Collect
We collect only the information we need to run our business and produce your event:
- Enquiry and booking details — your name, email address, phone number, and the information you share about your event (date, venue, guest count, occasion).
- Contract and billing details — organisation name, billing address and payment references for invoiced bookings.
- Event delivery information — venue access notes, guest flow requirements and on-the-day contacts you provide to us.
- Website usage information — limited technical data described in our Cookie Policy, collected only with your consent where consent is required.
- Correspondence — emails, phone notes and messages exchanged while planning your event.
We do not ask for, and you should not send us, sensitive personal information such as health details, unless it is genuinely needed for your event (for example, accessibility requirements you want us to accommodate).
2. How We Collect It (IPPs 1–4)
We collect personal information directly from you — through our enquiry form, by email, by phone or in meetings. We collect it for lawful purposes connected with producing events, and we do so in a way that is fair and not unreasonably intrusive. If we ever need information from a third party (for example, a venue passing on your contact details as event organiser), we will make sure you know we hold it.
3. How We Use It (IPPs 10–11)
We use personal information to:
- respond to enquiries and prepare proposals and quotes;
- plan, produce and deliver contracted events;
- invoice, keep accounts and meet our legal obligations;
- send occasional email updates about our formats — only if you have opted in, and every message includes a working unsubscribe link, consistent with the Unsolicited Electronic Messages Act 2007;
- maintain anonymised case studies — these never identify clients or guests without separate written permission.
We do not sell personal information. We do not share it with third parties for their marketing.
4. Disclosure
We disclose personal information only where needed to deliver your event or run our business: to venues (on-the-day contact names), to our accountant and bank (billing records), and to IT providers who host our email and website. Each provider is bound to use the information only for the service they provide to us.
5. Overseas Disclosure (IPP 12)
Some of our IT providers store data outside New Zealand (for example, email hosting). Where that happens, we only use providers subject to privacy safeguards comparable to the Privacy Act 2020, as IPP 12 requires.
6. Storage and Security (IPP 5)
Enquiry and booking records are held in access-controlled systems available only to team members who need them. Paper records are kept to a minimum and stored securely at our Wellington office. We retain booking records for seven years to meet tax obligations, then delete or anonymise them. Enquiries that do not become bookings are deleted within twelve months.
7. Your Rights (IPPs 6–7)
You may ask us at any time:
- whether we hold personal information about you;
- for a copy of that information;
- for corrections if it is wrong or out of date.
Email [email protected] with "Privacy request" in the subject line. We respond within 20 working days as the Act requires, and we do not charge for reasonable requests.
8. Privacy Breaches
If a privacy breach occurs that is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as required by Part 6 of the Privacy Act 2020, and tell you what happened, what we are doing about it, and what you can do.
9. Complaints
If you are unhappy with how we have handled your information, please contact us first at [email protected] — we take complaints seriously and aim to resolve them within 10 working days. You may also complain to the Office of the Privacy Commissioner: privacy.org.nz, PO Box 10094, Wellington 6143.
10. Changes to This Policy
We review this policy annually and update it when our practices change. The date at the top shows the current version. Material changes will be highlighted on this page for 30 days.
